Renewing

When does my membership renew?

On the anniversary of the day you joined. Memberships are not aligned to the calendar year, so there is no December rush and no proration to work out. Join on 14 August and you renew on 14 August.

If auto-renew is off we send a renewal notice 30 days before and a reminder at 7 days. If it is on we send the same notice, then take the dues on the day.

Do you renew automatically?

Only if you ask us to. Auto-renew is optional and off by default, and you can switch it either way in your account at any time without talking to anybody.

Members are split roughly evenly on it. Organizations with a purchase-order process usually leave it off so that Finance can raise the paperwork; individuals usually turn it on so they stop thinking about it.

What happens if I miss the renewal date?

Nothing dramatic and nothing expensive. The membership lapses 30 days after the renewal date. Restore it within twelve months by paying the current year’s dues and your record comes back intact — credentials, course history, cohort, directory entry, everything. There is no reinstatement fee.

What you lose in the gap is access, not history: the brief stops, the archive closes and member rates revert. If the delay is money rather than admin, ask about hardship dues before it lapses rather than after.

How do I change the card, the billing address, or switch auto-renew?

All three are in your account under billing, and none of them need an email to staff. Changing the card does not change the renewal date.

If your organization pays by invoice rather than card and something needs to change on the invoice itself — a purchase-order number, a different billing entity — that one does need finance@morecheese.org.

Your account and your organization

How do I add or swap the staff a Creamery or Retailer membership covers?

Send the names to memberservices@morecheese.org. Creamery covers up to six people and Retailer up to four; swapping one out for another is free and takes about a day.

Each covered person gets their own account rather than sharing a login, which matters because course records and credentials attach to a person, not to the organization. When someone leaves, tell us — their credential stays theirs, but their access under your membership should not.

How do I move a membership to a new owner or a new organization?

An organizational membership follows the organization, so a change of owner is a change of contact: the current administrator writes to memberservices@morecheese.org naming the new one. We confirm with both.

An Individual membership follows the person and cannot be transferred to a colleague. If someone is leaving and the organization wants to keep the seat, the cleanest route is usually to convert to the appropriate organizational tier at the next renewal.

I need a receipt, an invoice, or a letter confirming our standing.

Receipts and invoices for every payment are in your account under billing history, and can be downloaded as often as you like. A receipt documents money already paid; an invoice requests money not yet paid, and Finance can issue one in advance if your ledger needs it.

For anything a form cannot produce — a letter on headed paper confirming membership term, standing and credentials held, for a bank, a license application or a regulatory query — write to memberservices@morecheese.org with what the letter has to say and who it is addressed to. Three to five business days.

How do I correct or remove our directory entry?

You control your own entry. Ask Membership Operations to correct it, expand it, or take it down, and it changes within a day.

You can also narrow it rather than remove it: keep the organization listed and what it does, drop the contact detail. Members who are listed but unreachable get fewer useful inquiries, which is worth knowing before you choose that.

Can I keep the membership but stop the email?

Yes. Communication preferences are per-member and per-publication, so you can drop the brief and keep the renewal notices, or drop everything except the things you have to be told.

The archive stays open either way. Members who unsubscribe from the brief and then read it in the archive on a Friday are more common than you would think.

How do I close a membership?

Write to memberservices@morecheese.org, or turn auto-renew off and let it lapse — both work and neither is held against you.

If you are leaving because of something we did, say so in the email. That goes to the Membership Committee without your name on it, and it is the main way the tiers and the dues policy have changed over the years.
