One of our longtime members, a specialty cheese buyer who asked us not to use his name because he still feels a little sheepish about it, let his federation renewal notice sit unopened this spring until his membership slid into its grace window. Nothing about how he was using the federation had changed. He just let a routine renewal fall behind three or four other routine things, until the grace window made it not routine anymore.
"I wasn't avoiding it," he told us. "I opened the email, thought 'not today,' and then it turned out auto-renew was off, so it just sat there until someone finally followed up." He'd assumed, incorrectly, that his membership renewed automatically the way a few of his other professional subscriptions do. It doesn't, and he found that out at the point it mattered most.
What the grace window actually buys you
A membership in the grace window isn't lapsed yet, but it isn't secure either. Directory access and member pricing on courses can be affected depending on how long the window runs, and he said the uncertainty of not knowing exactly what he'd lose was more unsettling than any specific benefit. "I use the buyer directory more than almost anything else the federation offers," he said. "The idea that it might just stop working on a date I hadn't marked down was what finally got me to act, not the renewal email itself."
What actually broke the inertia wasn't the first notice or the second. It was a direct message from a membership volunteer, checking in rather than just re-sending the same form email. "A notice is easy to file away as 'later,'" he said. "A person asking if everything's okay is harder to ignore. It made me actually look at what lapsing would mean instead of assuming it was fine to put off."
He's not alone in this, and he'd rather other members hear that plainly than assume this kind of lapse only happens to people who've checked out. Members who are heavily engaged — reading every bulletin, using the directory weekly, showing up for the conference — are just as likely to let a renewal drift as anyone else, because the renewal itself sits behind the parts of membership they actually notice using day to day.
What he'd tell another member sitting on a renewal
His advice is aimed squarely at members like he was this spring — not disengaged, just behind. "Don't assume auto-renew is on unless you've checked it," he said. "And don't treat the grace window like a real deadline extension. Treat the first notice like the deadline, because by the time the second one arrives, you're explaining yourself instead of just renewing."
He also pushed back on the idea that a lapse like his reflects a loss of interest. "That's exactly the trap. I use the directory every week. I just wasn't thinking about the thing underneath the directory that keeps it turned on for me." Members unsure whether their renewal is current, or whether auto-renew is set the way they expect, can check both from the member portal's account settings at any time, and the Membership & Outreach Committee is a quick email away for anyone who'd rather ask a person than dig through a settings page.
