Member spotlight: a new committee chair's first month

A composite of the members who've stepped into committee leadership this January, on what two years of reading drafts teaches you before you start writing them.

This week's spotlight is a composite rather than one member, because the story showed up in more than one committee at once. Every January a handful of members roll off two years as a committee member and into a year as its chair, and we heard enough of the same reflections from this year's new chairs that it seemed more honest to describe the pattern than to single one person out for it.

The most common thing they told us: two years of sitting on the other side of the table teaches you patience with the drafting process you didn't expect to need. As a member, it's easy to want a document to move faster than it does. As chair, you're the one deciding whether moving faster is worth the parts the committee would get wrong by rushing.

What's landing on their desks this winter

Food Safety's incoming chair inherits a committee whose workload has picked up this month. Federal milk testing surveillance expanded to more states in early January, and while the federation has no regulatory role in that program, member questions about what a wider testing footprint means for their own biosecurity and recordkeeping practices have been landing with the committee all month. The federation's job isn't to interpret the federal program for members — that's not what a trade association does — but to make sure its own guidance documents and the Food Safety & HACCP Certificate curriculum stay current with what's actually changing on the ground.

"We're not going to tell anyone what's safe," the incoming chair told us. "We're going to make sure the course material and the guidance documents reflect what's actually changing in recordkeeping and reporting expectations, and that members know where to look for the primary source instead of relying on us to summarize it secondhand."

Other committees are carrying lighter but similar loads. Membership & Outreach's new chair is sorting through a backlog of feedback on the renewal reminder sequence. Events is mid-planning for a spring workshop calendar that has to account for a possible virtual repeat of a popular February session. None of it is dramatic. All of it is the unglamorous maintenance work that keeps a volunteer-run committee useful to the members who never see the meeting itself.

What they're keeping, and the one thing they're adding

Asked what they'd change about how their committees run, most of this year's new chairs mostly talked about what they wouldn't touch. The habit of circulating a draft to a handful of working members before it goes to the full group — a practice several credit with catching problems early — stays exactly as it is everywhere we asked. What more than one chair independently wants to add is a standing slot at each meeting for a single member-submitted question, read into the record before the committee gets to its own agenda.

"Two years of member emails taught me that the question nobody thought to put on the agenda is usually the most useful one in the room," one told us. "I'd rather build the time in than hope we remember to make room for it."

If you have a question you'd like raised with a committee, or you're curious what a particular committee is currently working through, Membership & Outreach can point you to the right liaison. Several committees are starting exactly this kind of open-question slot at their next meeting, and an unfiltered question from a member who's never sat in the room is precisely what it's designed for.
